The role
An HR Administrator is required to provide professional and comprehensive administrative support to the HR Manager. We are seeking someone who is resourceful and who can think independently and be proactive to support the HR Department
Responsibilities will include:
Administer the recruitment and onboarding process, including:
- Compilation of CVs for managers, liaising with candidates and agencies to provide updates and feedback
- Scheduling interview meetings via outlook
- Sending relevant paperwork to new starters
- Undertake all necessary employment checks including right to work, qualifications and reference checks
- Ensuring internal processes are completed and arranged (such as IT new starter forms)
- Completing an induction presentation for new recruits
- Ensure the Induction process is completed and all necessary paperwork is provided to the new employee
- The probation process, ensuring Managers know when review meetings need to take place and any associated paperwork
Other duties will include:
- Exit interviews and completion of associated administration for leavers
- Making sure the HR Manager is aware of any changes that need to be made such as changes to payroll, new starts, leavers, benefit changes
- Maintain years of service documentation and tracker
- Monitoring the absence documentation, including return to work forms and doctor fit notes
- Administration regarding training processes preparing documents, ensuring training documents are completed, signed and relevant approvals are obtained
- Organising internal training requests and logging accordingly and arranging training review forms
- Assist with the appraisal cycle, obtain and record completed appraisals
- Maintain HR System to ensure all relevant admin updates are made and make sure appropriate reports are accessible. This includes inputting starters and leavers, any contractual amendments or details and the recording of annual leave and absence
- Ensure compliance with GDPR policies
- Monitor Outlook Mailboxes responding to general enquiries and escalating more complex enquiries to the HR Manager
- Providing day to day advice to employees regarding general HR related queries in line with company policy and procedures, escalating complex queries to the HR manager
- Assisting in formal meetings such as employee disciplinaries and grievances, undertaking tasks as may be required by the HR Manager
- Responding to reference requests for current or ex members of staff
- Ensure all employee files are maintained and any filing or archiving is completed in a timely manner
- Assisting the HR manager in implementing and developing new projects
- Create a monthly employee newsletter
- Creating weekly social media posts to promote the company
- Attending H&S meetings and assist with relevant communications. Logging and tracking H&S training
- Perform and other associated tasks such as general administration and diary management.
The Person
Experience within a HR Administration or similar role and some understanding of HR processes would be highly desirable
Proficient use of MS office packages as well as some familiarity with an HR Systems
Excellent Communication and organisational skills
Good interpersonal and analytical skills
The ability to build relationships at all levels across the business
Strong attention to detail
The ability to multitask, organise and prioritise work accordingly.
This role is offered on a Full-time, permanent basis and the Working hours are 37.5 hours a week: Monday Thursday 08 00 and Friday 08 45 (with 45 min unpaid lunch). However, part time hours may be considered.
The salary is negotiable depending on experience and offers some excellent benefits. These include regular social events and get togethers, as well as some great benefits too.
